Frequently Asked Questions
Common questions about conference insurance.
Many venues require proof of at least $1,000,000 in general liability before they'll confirm your booking. Beyond venue requirements, a policy can help protect you financially if someone gets hurt or something gets damaged during your conference - costs that could otherwise come out of pocket.
Pricing depends on your guest count, event duration, and the coverage options you select. You can see your exact price instantly with no commitment required.
The policy is general liability for third-party bodily injury and third-party property damage, plus Damage to Premises Rented To You at a $100,000 limit included on every policy. Optional coverages can be added for an additional charge, including host liquor liability for events where alcohol is served, full liquor liability where alcohol is sold, Waiver of Subrogation, and Primary & Non-Contributory. Virtual, hybrid, and livestreamed activity is not covered.
Fill out the online form, choose your options, and your Certificate of Insurance arrives within minutes. Keep in mind that coverage itself begins no sooner than the next day - the earliest coverage date you can select is tomorrow. No phone calls, no paperwork to mail in.
Yes - at no extra charge, you name your venue on your certificate during checkout, and the policy's additional insured endorsements extend protection to owners, managers, and lessors of your event premises - and to municipalities issuing event permits - as required by written contract. The certificate reflecting this is included automatically. Caterers and other vendors aren't eligible for additional insured status. Note that venues often also require Waiver of Subrogation and Primary and Non-Contributory, which are separate add-ons available for an additional charge.
Alcohol-related coverage is never included automatically - it is an optional paid add-on. For eligible events where alcohol is served but not sold, host liquor liability can be added during checkout. Available alcohol-related coverage options depend on the event type and eligibility shown during checkout.
Gigsure sells event liability coverage. There is no event cancellation product, so lost deposits and non-refundable costs are not covered. If you need to cancel, contact your venue and vendors directly, since cancellation terms are governed by your vendor agreements.
All policies are underwritten by an insurance carrier rated A++ (Superior) by AM Best - one of the highest ratings in the insurance industry. Your carrier is named on your quote and policy documents.
Complete Guide to Conference Insurance
Everything you need to know before purchasing coverage for your conference.
Organizing a professional conference involves coordinating numerous moving parts - from securing keynote speakers to arranging venue logistics. Among these crucial elements, insurance protection stands as a fundamental requirement that helps safeguard your investment and reputation. Whether you're hosting an intimate industry seminar or a multi-day convention, proper coverage can shield you from unforeseen accidents, liability claims, and financial setbacks that could compromise your event's success.
What Is Conference Insurance?
Conference insurance is short-term event liability coverage for the organizers, planners, and hosts who assemble people for professional gatherings. The policy responds to third-party bodily injury and third-party property damage claims arising out of your conference.
It is written for one-off, short-duration events rather than for an ongoing business operation. The practical difference is documentation: a Gigsure policy produces a certificate of insurance naming the venue as an additional insured, which is what the venue is actually asking for.
The policy includes:
- General liability for third-party bodily injury and third-party property damage
- Damage to Premises Rented To You at a $100,000 limit, included on every policy
- Products and Completed Operations aggregate limit of $1,000,000 - a stated policy limit, not product or food-service protection
- Host liquor liability or full liquor liability, optional coverages that can be added for an additional charge for eligible events
Venues commonly require proof of insurance before confirming a booking, which is why most organizers buy the policy as soon as the space is reserved.
Types of Coverage for Professional Events
General Liability Insurance
General liability is the cornerstone of event protection. The policy responds when attendees or other third parties suffer bodily injury or property damage in connection with your conference.
Base liability limits are $1 million per occurrence and $2 million aggregate. Policies vary. See your issued policy for applicable terms, limits, conditions, and exclusions. At checkout you can raise the per-occurrence limit to $2 million and the aggregate limit to $3 million, $4 million, or $5 million. The aggregate limit is the ceiling on total payouts for the policy term.
Host Liquor Liability
When your conference features networking receptions, cocktail hours, or wine-accompanied dinners, venues frequently ask to see liquor liability on the certificate. Host liquor liability is an optional coverage that can be added for an additional charge for eligible events, and it is never included automatically.
Host liquor liability applies when you:
- Provide complimentary drinks at receptions
- Include wine or beer with catered meals
- Offer an open bar at networking events
- Distribute drink tickets to attendees
The critical distinction: host liquor protects events where alcohol is provided but not sold. If you charge for drinks or operate a cash bar, you can add Full Liquor Liability at checkout for eligible event types.
Select the add-on at checkout if alcohol will be served. Whether host liquor or full liquor is available depends on the event type and on the eligibility answers shown during checkout.
Equipment and Property Coverage (separate provider required)
Conferences frequently require significant equipment investments: audiovisual systems, projection equipment, computers, display materials, and specialized technology. Event liability is third-party coverage. Insuring your own gear against theft or damage is a different product that Gigsure does not sell, so arrange it separately with a commercial property insurer.
Equipment organizers commonly ask about when arranging that separate coverage:
- AV equipment and projection systems
- Laptops and tablets used for presentations
- Display booths and promotional materials
- Sound systems and microphones
- Lighting equipment and stage props
If you own or rent valuable equipment for your conference, contact a commercial property insurer to discuss inland marine or equipment floater coverage appropriate for your needs.
Professional Liability for Event Planners
If you're a professional event planner organizing conferences for clients, you may also want professional liability (errors and omissions) cover for claims about your services. It is a separate product that Gigsure does not sell, so arrange it through a commercial insurer.
How Much Does Coverage Cost?
Pricing varies by event details. The base premium is calculated using: number of guests x number of event days x rate per guest, subject to a minimum premium. Optional coverages - Waiver of Subrogation, Primary & Non-Contributory Endorsement, Host Liquor Liability, and Full Liquor Liability - can be added for an additional charge. Higher liability limits are priced based on the coverage selected and subject to minimum charges. Additional charges may apply, including a transaction fee, an underwriting fee, a Terrorism Risk Insurance Act (TRIA) charge, if applicable, and state taxes and surplus lines stamping fees where required. All applicable charges will be displayed before you complete your purchase.
Here's how the inputs differ across conference sizes:
Small Conferences (50-100 attendees)
Basic coverage pricing varies by event size and duration
$1M/$2M liability limits
Single-day events in low-risk venues
No alcohol service
Medium Conferences (250-500 attendees)
Pricing varies by guest count and duration
$1M/$2M or $2M/$4M limits
Multi-day events
Host liquor add-on selected
Large Conferences (1,000 to 5,000 attendees)
Pricing varies by guest count and duration
$2M/$4M or $2M/$5M limits

The examples above are provided for illustration purposes only. Final pricing may vary based on event details, state-specific requirements, eligibility, selected coverages, applicable taxes and fees, and underwriting rules in effect at the time coverage is purchased.
Factors That Affect Your Premium
A short list of inputs drives the price:
Event Size and Duration
Greater attendance numbers and extended events increase exposure to potential claims. A three-day convention carries higher premiums than a four-hour seminar.
Alcohol Service
Events featuring alcohol cost more because alcohol coverage is an optional coverage added for an additional charge: Host Liquor Liability where alcohol is served but not sold, or Full Liquor Liability for cash bars and alcohol sales. The two are mutually exclusive, and both are available at checkout only for eligible event types.
Activities and Entertainment
Physical activities, demonstrations, or entertainment beyond standard presentations don't change your price, but they can affect eligibility for coverage.
Coverage Limits
Higher limits can be added for an additional charge. You can raise the per-occurrence limit to $2 Million and the aggregate limit to $3 Million, $4 Million, or $5 Million. Higher limits are priced based on the coverage selected and subject to minimum charges.
Money-Saving Strategies
You can reduce costs without sacrificing essential protection:
- Choose appropriate limits: match coverage limits to your actual risk exposure and venue requirements
- Skip add-ons you don't need: If alcohol won't be served, you don't need a liquor liability add-on
Who Needs Event Protection?
Anyone organizing or hosting a professional gathering should seriously consider event liability coverage. Groups that commonly need it include:
Conference Organizers and Planners
Whether you're planning a healthcare symposium, technology summit, or educational workshop, you face liability exposure from attendee arrival through departure. You're accountable for maintaining a safe environment and can be held liable for injuries or damages that occur.
Professional Associations
Associations hosting annual meetings, regional gatherings, or specialized training events need protection for their members and organization. Claims against the association can threaten its financial health and standing.
Corporate Event Coordinators
Companies organizing client conferences, sales meetings, or industry events still have to hand the venue a certificate of insurance naming it as an additional insured. Other policies generally won't produce that document for a one-off event, which is the practical reason companies buy an event policy alongside whatever else they carry.
Academic Institutions
Universities and colleges hosting academic conferences, symposiums, or continuing education programs often need a certificate for a specific date and a specific room, which is exactly what an event policy is set up to produce.
Exhibitors and Vendors
If you're exhibiting at a conference rather than organizing it, you still carry liability for what happens around your booth. Venue and show contracts often require exhibitors to carry their own policy and to provide a certificate before move-in.
Convention Centers and Venues
Venue operators should require event organizers to carry adequate coverage and name the venue as an additional insured. This helps protect the venue from claims arising from events held on their premises.
Common Risks and Real-World Scenarios
Understanding potential incidents helps clarify why insurance matters. Here are common risk scenarios:
Slip, Trip, and Fall Incidents
Trips and falls are a routine hazard at conferences. An attendee trips over an extension cord running across a walkway, or slips on a wet floor near the registration area. A fall serious enough to need surgery can produce large medical bills plus a demand for pain and suffering. This is the kind of incident liability coverage exists for.
Equipment Damage
A speaker's laptop gets knocked off the presentation table and destroyed. The venue's projector system gets damaged during your setup. Damage to someone else's property during load-in and load-out is one of the most common disputes at a conference.
Venue Property Damage
Your setup crew accidentally damages the venue's walls while installing signage. Water from your event decorations stains expensive carpeting. Restoration work on a conference space is the exposure venues have in mind when they ask who pays for damage to the room.
Alcohol-Related Incidents
An intoxicated attendee leaves your networking reception and causes a car accident. Or someone who had too much to drink at your event falls and suffers serious injuries. Alcohol-related claims are among the most severe an event host can face, which is why venues so often ask for liquor liability on the certificate.
Speaker or Performer Issues
Your keynote speaker falls ill the day before the conference, and you can't find a replacement. Attendees demand refunds, and sponsors threaten to pull support. Refunds and lost revenue are business risks, not third-party liability claims, and an event liability policy is not the place to look for them. There is no event cancellation product.
What's Not Covered
These are common examples, not a complete list - see your policy for the full set of exclusions, terms, and conditions.
Knowing what sits outside the policy helps you avoid surprises later. The following are not covered:
Virtual, Hybrid, and Livestreamed Activity
Conferences increasingly run a remote track alongside the room. Virtual, hybrid, and livestreamed activity is not covered. The policy is written around the physical event at the venue you list.
Medical Payments
There is no medical payments coverage on this policy, so an injured guest's bills are not paid as a no-fault benefit.
Participants, Performers, and Contestants
Injuries to participants, performers, and contestants themselves are not covered.
Temporary Structures
Tents, stages, and similar temporary structures are not covered as property.
Fireworks and Pyrotechnics
Fireworks, pyrotechnics, and sparklers are not covered.
Event Cancellation
There is no event cancellation product, so lost deposits, refunds, and non-refundable costs are not covered.
Products and Food Service
Products, food-borne illness, and food service are not a coverage area.
Bounce Houses and Inflatables
Bounce houses and other inflatables are excluded.
Water Activities
Water activities are blocked at the eligibility stage and are never rated or covered.
Primary Status Is Not Automatic
The policy is not primary by default. If your venue contract requires primary and non-contributory wording, add the Primary & Non-Contributory endorsement at checkout.
Addressing Coverage Gaps
For excluded risks that concern you:
- Consider a separate policy from a commercial insurer for the specific risk
- Implement strong risk management to minimize exposure
- Read your venue contract closely so you know what it actually requires

How every Gigsure policy works
- Pricing is based on your guest count, number of event days, and the coverages you select. Your location and venue type never change the price.
- All fees and taxes are shown before you pay. The exact total appears on your quote.
- Coverage applies to the event dates you select and can start as soon as tomorrow. Setup and teardown activities that are part of your event are covered as part of the event - though never anything before your date and time of purchase. Your Certificate of Insurance is available within minutes of purchase.
- Certain high-risk activities and injuries to participants or performers may be excluded. See your policy for applicable terms, limits, conditions, and exclusions.
- Policies are underwritten by an insurance carrier rated A++ (Superior) by AM Best, named on your quote and policy documents.
- Your venue can be named on your certificate for free during checkout and after purchase. Additional insured protection extends to owners, managers, and lessors of the event premises - and to municipalities issuing event permits - as required by written contract, per the policy's endorsements.
- Alcohol-related coverage is never included automatically. For eligible events, host liquor liability, or full liquor liability where alcohol is sold, can be added at checkout for an additional charge.
- Policies are placed as surplus lines insurance through a risk purchasing group. Surplus lines policies are generally not protected by state guaranty funds; state-specific disclosures appear on your quote and policy documents.
