Frequently Asked Questions
Common questions about picnic insurance.
Many venues require proof of at least $1,000,000 in general liability before they'll confirm your booking. Beyond venue requirements, a policy can help protect you financially if someone gets hurt or something gets damaged during your picnic - costs that could otherwise come out of pocket.
Pricing depends on your guest count, event duration, and the coverage options you select. You can see your exact price instantly with no commitment required.
A standard policy covers general liability for third-party bodily injury and third-party property damage, and carries $100,000 of Damage to Premises Rented To You at no extra charge. Optional add-ons include host liquor liability for events where alcohol is served, Waiver of Subrogation, and Primary & Non-Contributory status.
Fill out the online form, choose your options, and your Certificate of Insurance arrives within minutes. Keep in mind that coverage itself begins no sooner than the next day - the earliest coverage date you can select is tomorrow. No phone calls, no paperwork to mail in.
Yes - at no extra charge, you name your venue on your certificate during checkout, and the policy's additional insured endorsements extend protection to owners, managers, and lessors of your event premises - and to municipalities issuing event permits - as required by written contract. The certificate reflecting this is included automatically. Caterers and other vendors aren't eligible for additional insured status. Note that venues often also require Waiver of Subrogation and Primary & Non-Contributory, which are separate optional coverages that can be added for an additional charge.
Alcohol-related coverage is never included automatically - it is an optional paid add-on. For eligible events where alcohol is served but not sold, host liquor liability can be added during checkout. Available alcohol-related coverage options depend on the event type and eligibility shown during checkout.
Gigsure places event liability coverage, and event cancellation is not a product we sell. If you need to cancel, contact your venue and vendors directly, since cancellation terms are governed by your vendor agreements, not your event liability policy.

Complete Guide to Picnic Insurance
Everything you need to know before purchasing coverage for your picnic.
Organizing a company picnic, family reunion, or community event? Event liability insurance is what stands between you and the financial exposure of hosting an outdoor gathering. Whether you're facing a mandatory venue requirement or simply want peace of mind, a policy responds to covered third-party claims and produces the certificate a park district or venue needs before it will issue your permit.
What Is Picnic Insurance?
Picnic insurance is short-term event liability coverage arranged for outdoor event organizers. It responds to third-party bodily injury and third-party property damage claims arising from your gathering, up to the limits shown on the issued policy. Gigsure is the producer that places the policy, not the carrier.
The practical difference from a policy you may already hold is documentation. Other policies generally won't satisfy a venue's certificate-of-insurance or additional-insured requirement, while a Gigsure policy produces a COI naming the venue as an additional insured, which is what the venue is actually asking for. Coverage is written for one to three event days, with a per-occurrence limit of $1 million or $2 million and an aggregate limit of $2 million that can be upgraded to $3 million, $4 million, or $5 million.
A Gigsure policy includes:
- General liability: third-party bodily injury and third-party property damage, at $1 million per occurrence and $2 million aggregate unless you upgrade the limits
- Damage to Premises Rented To You: $100,000, included on every policy at no extra charge
- Host liquor liability (optional coverage): can be added for an additional charge for eligible events where alcohol is served but not sold
Who Needs Coverage for Their Event?
While intimate backyard gatherings may not require formal insurance, many outdoor events do. Coverage is worth arranging when these circumstances apply:
Venue Requirements
Public parks, beaches, and municipal facilities consistently mandate proof of insurance before issuing event permits. Venues typically specify minimum coverage amounts - usually $1 million per occurrence - and require designation as an additional insured on your certificate.
Private facilities including country clubs, event spaces, and community centers impose similar insurance requirements. Your rental agreement will detail specific coverage clauses and certificate submission deadlines that must be met.
Large Gatherings
As a gathering grows, so does the chance that someone is hurt or something is damaged, and the paperwork a venue or park district asks for gets stricter. A one-off event policy is what produces the certificate of insurance naming them, which is the document they require.
Company picnics, nonprofit fundraisers, church events, and school functions commonly call for dedicated coverage. Even without a venue mandate, protecting your organization from lawsuit exposure is sound planning.
Alcohol Service
If alcohol is part of your picnic, whether beer, wine, spirits, or BYOB, host liquor liability is the optional coverage to select at checkout for eligible events where alcohol is served but not sold. Full liquor liability applies instead to eligible events where alcohol is sold. Either can be added for an additional charge. Event organizers face legal responsibility when intoxicated guests harm themselves or others, and that exposure exists whether drinks are sold or given away.
Activities with Elevated Risk
Organized games, relay races, and casual lawn games raise the chance of a third-party injury claim and are worth planning around. Two limits are worth knowing up front: injuries to the participants themselves are not covered, and water activities such as swimming or boating are not eligible for this coverage at all. Bounce houses and other inflatables are excluded as well.
Common Risks at Outdoor Events
Understanding potential incidents helps you plan ahead. Common risks include:
Slip, trip, and fall accidents: Uneven ground, wet grass, exposed roots, and shifting foot traffic create numerous hazards. A single fall can turn into a liability claim well after the event is over, which is the kind of incident liability coverage exists for.
Food handling: Warm weather and long serving windows are hard on picnic food, so plan your setup and timing carefully. Note that food-borne illness, food service, and catering incidents are not a coverage area under this policy.
Weather-related injuries: Unexpected storms, lightning strikes near gathering areas, or heat exhaustion all fall under event organizer responsibilities. Your duty of care includes providing reasonable protection from environmental hazards.
Property damage: Unintentional damage to venue landscaping, buildings, or equipment can generate substantial repair invoices.
Alcohol-related incidents: Guests who over-consume then fall or drive create serious exposure for the organizer. This is why venues that allow alcohol usually want to see liquor liability reflected on the certificate.
What Coverage Includes
A standard policy is built around these components:
General Liability Protection
This foundational coverage responds to third-party bodily injury and third-party property damage claims arising from your event, subject to the terms and limits of the issued policy.
Standard limits are $1 million per occurrence with $2 million aggregate (the cumulative limit for all claims), and a Products and Completed Operations aggregate of $1,000,000 is included. This is a stated policy limit, not product or food-service protection; products, food service, and food-borne illness are not a coverage area. Many venues require $2 million per occurrence, which is available as a limit upgrade, and aggregate limits of $3 million, $4 million, or $5 million are also available. Higher limits are priced based on the coverage selected and subject to minimum charges, with the exact amount shown before you complete your purchase. Policies vary. See your issued policy for applicable terms, limits, conditions, and exclusions.
Host Liquor Liability
Host liquor liability is an optional coverage, available for an additional charge, for eligible events where alcohol is served but not sold. It is never included automatically and has to be selected at checkout.
Critical distinction: Host liquor liability applies when alcohol is provided complimentary. Commercial sale of alcoholic beverages requires the separate full liquor liability coverage, available for an additional charge for eligible events where alcohol is sold. The two are mutually exclusive, so you select one or the other.
Damage to Rented Premises
Damage to Premises Rented To You carries a $100,000 limit and is included on every policy at no extra charge. It applies to the space you rent for the event, and it is the coverage a venue is thinking of when it asks who pays if the space gets damaged.
Check the limit your rental agreement or permit expects before you sign, so you know it lines up.
What Isn't Covered
This is not a complete list, and the issued policy controls. The items picnic organizers ask about most often:
- Injuries to participants, performers, or contestants themselves
- Bounce houses and other inflatables, which are excluded
- Water activities such as swimming and boating, which are not eligible for this coverage at all
- Tents, stages, and other temporary structures, which are excluded as property
- Fireworks, pyrotechnics, and sparklers
- Food-borne illness, food service, and catering incidents
- Medical expenses for guests where you are not found legally liable
- Virtual, hybrid, and livestreamed activity
- Event cancellation, which is not a product Gigsure sells
How Much Does It Cost?
Pricing varies by event details rather than following a flat rate. You can see your exact price instantly by entering your guest count, dates, and coverage options.
The base premium for Picnics is calculated using number of guests x number of event days x rate per guest, subject to a minimum premium. Larger gatherings written under extended eligibility are rated on their own basis, again subject to a minimum premium.
Primary pricing determinants include:
- Number of attendees: the base premium scales directly with guest count
- Event duration: Picnics can be covered for up to three event days, and each day multiplies the base
- Alcohol service: host liquor liability and full liquor liability are optional coverages that can be added for an additional charge
- Coverage limits: a $2 Million Per Occurrence upgrade and $3 Million, $4 Million, and $5 Million aggregate limits are available, priced based on the coverage selected and subject to minimum charges
- Endorsements: Waiver of Subrogation and Primary & Non-Contributory can each be added for an additional charge
Additional charges may apply, including a transaction fee, an underwriting fee, a Terrorism Risk Insurance Act (TRIA) charge, if applicable, and state taxes and surplus lines stamping fees where required. All applicable charges will be displayed before you complete your purchase.
How to Get Coverage Quickly
The whole process runs online, from quote to certificate, with no phone calls required.
The Online Application Process
The online application runs in this order:
- Select your event type: choose "Picnics".
- Enter your guest count and number of event days.
- Tell us who is purchasing the coverage.
- Enter your venue's address and location type.
- Pick your coverage dates. The earliest coverage can begin is the day after purchase.
- Answer a few eligibility questions about venue activities, musical performances, vendors or temporary structures, and prior claims.
- Choose your add-ons: host liquor liability or full liquor liability for eligible events, Waiver of Subrogation, and Primary and Non-Contributory.
- Review your quote and pay by card. You can also increase your per-occurrence and aggregate liability limits above the base $1M/$2M here. Additional Insureds, such as your venue, can be added for free.
- Receive your documents: your Certificate of Insurance arrives within minutes, and coverage begins on the dates you selected.
Instant Certificate Delivery
Your policy documents and certificate of insurance are issued as soon as the purchase completes. The certificate provides venues with proof of active coverage.
You can name your venue, and the municipality or park district issuing your event permit, as additional insureds at no additional charge. Caterers, vendors, and sponsors aren't eligible. Updated certificates generate instantly, so you can send them to the venue right away.
Timing Your Purchase
Buying earlier leaves time to review the policy provisions, add required additional insureds, and answer venue questions. The price does not change based on how early you buy.
When time is limited, coverage can be purchased as late as the day before your event, subject to eligibility, because the earliest coverage can begin is the day after purchase. Leave enough room for the venue to review and approve your certificate.
Venue Requirements Explained
Understanding your venue's specific insurance requirements prevents complications and ensures certificate compliance.
Certificate of Insurance (COI)
This document evidences your active coverage. Venues specify precise information required on certificates:
- Minimum coverage limits (typically $1M per occurrence, $2M aggregate)
- Specific coverage types required (general liability, liquor liability)
- Additional insured designation for venue owners and/or management entities
- Event date and location
Carefully review your rental agreement - certain venues require specific certificate language or multiple entities listed as additional insureds.
Additional Insured Endorsements
This endorsement extends your liability protection to the owners, managers, and lessors of the premises you are using, and to a municipality or park district that issues your event permit, as required by written contract. A permit-issuing municipality is an eligible additional insured, which matters for public parks and beaches.
The endorsement is scope-limited to those parties: caterers, vendors, and sponsors can't be named. Additional insured endorsements are added at no extra charge, and you'll need the legal business name and address of each party.
Submission Deadlines
Many venues and permit offices set a certificate deadline in the rental agreement or permit paperwork. Missing it can trigger a permit cancellation or an event postponement, so note the date as soon as you book.
Risk Management Best Practices
Insurance is the financial backstop, but preventing incidents entirely is the better outcome. Combining coverage with proactive safety measures is common practice:
Venue inspection: Conduct pre-event site evaluations identifying hazards - uneven terrain, overhanging branches, inadequate lighting, or surfaces becoming slippery when wet. Remediate issues or provide clear warnings.
Food safety protocols: Keep hot food hot and cold food cold, use insulated containers and ice baths for long serving windows, and follow your local health department's guidance on how long perishables can sit out.
Alcohol management: Engage professional bartenders trained in responsible beverage service. Close the bar well before the event ends. Offer plenty of food and non-alcoholic drinks, and arrange transportation alternatives for guests.
Weather monitoring: Review forecasts regularly preceding your event. Develop severe weather protocols including designated shelter locations. When thunderstorms threaten, monitor conditions actively and prepare to relocate attendees indoors.
First aid preparation: Maintain comprehensive first aid supplies on-site. For larger gatherings, consider employing EMTs or designating trained first aid responders with appropriate equipment.
