Frequently Asked Questions
Common questions about award ceremony insurance.
Many venues require proof of at least $1,000,000 in general liability before they'll confirm your booking. Beyond venue requirements, a policy can help protect you financially if someone gets hurt or something gets damaged during your award ceremony - costs that could otherwise come out of pocket.
Pricing depends on your guest count, event duration, and the coverage options you select. You can see your exact price instantly with no commitment required.
A standard policy covers general liability for bodily injury and property damage. Optional add-ons include host liquor liability for events where alcohol is served, Waiver of Subrogation, and Primary & Non-Contributory status.
Fill out the online form, choose your options, and your Certificate of Insurance arrives within minutes. Keep in mind that coverage itself begins no sooner than the next day - the earliest coverage date you can select is tomorrow. No phone calls, no paperwork to mail in.
Yes - at no extra charge, you name your venue on your certificate during checkout, and the policy's additional insured endorsements extend protection to owners, managers, and lessors of your event premises - and to municipalities issuing event permits - as required by written contract. The certificate reflecting this is included automatically. Caterers and other vendors aren't eligible for additional insured status. Note that venues often also require Waiver of Subrogation and Primary and Non-Contributory, which are separate add-ons available for an additional charge.
Alcohol-related coverage is never included automatically - it is an optional paid add-on. For eligible events where alcohol is served but not sold, host liquor liability can be added during checkout. Available alcohol-related coverage options depend on the event type and eligibility shown during checkout.
Gigsure policies cover liability and property protection for your event. If you need to cancel, contact your venue and vendors directly - cancellation terms are governed by your vendor agreements, not your event liability policy.

Complete Guide to Award Ceremony Insurance
Everything you need to know before purchasing coverage for your award ceremony.
Award ceremonies bring together attendees, venues, vendors, and presentations - but they also create liability exposures that can result in significant financial losses. Whether you're organizing a corporate recognition event, nonprofit gala, or academic honors ceremony, venues typically mandate proof of liability coverage before finalizing bookings. Our specialized insurance solutions address these requirements while helping protect you from unexpected costs related to injuries and property damage.
What Is Award Ceremony Insurance?
Award ceremony insurance is event-specific liability protection designed to shield organizers from financial exposure when injuries occur or property sustains damage during recognition events. Coverage is written for formal occasions where individuals or groups receive honors - spanning employee appreciation gatherings to professional association awards banquets.
Coverage applies to the specific dates and venue scheduled for your ceremony. It is built for the kind of incident liability coverage exists for, such as a guest slip-and-fall or accidental damage to the venue, subject to your policy's terms. Other policies generally won't satisfy a venue's certificate-of-insurance or additional-insured requirement. A Gigsure policy produces a COI naming the venue as an additional insured, which is what the venue is actually asking for.
Events requiring this specialized protection include:
- Corporate employee recognition events and service awards
- Industry association awards dinners and galas
- Nonprofit fundraising ceremonies with donor recognition
- Academic graduation ceremonies and honors convocations
- Professional achievement award banquets
- Community service recognition events
What distinguishes our award ceremony coverage from standard event insurance is its focus on formal occasions and the stringent venue requirements involved. These ceremonies typically occur at hotels, banquet facilities, or convention centers with comprehensive insurance requirements, including additional insured endorsements naming the venue on your certificate.
Types of Coverage for Award Ceremonies
General Liability Insurance
General liability establishes the core of your event protection. It can respond when third parties, including guests or venue personnel, experience bodily injury, or when accidental property damage occurs to the venue's premises.
Our base liability limits are $1 million per occurrence and $2 million aggregate. Policies vary. See your issued policy for applicable terms, limits, conditions, and exclusions. The per-occurrence limit is the most the policy will pay for any single incident, while the aggregate is the total available for all claims during your event. These limits commonly satisfy venue contract requirements, and higher limits of up to $2 million per occurrence and $5 million aggregate can be selected at checkout.
General liability responds to third-party claims such as:
- Guest injuries from slips, trips, and falls
- Accidental damage to venue walls, floors, or fixtures during setup
Coverage exclusions (not a complete list):
- Medical payments for guests, sometimes called Coverage C, are excluded
- Injuries to participants, performers, and contestants taking part in the program
- Temporary structures such as tents and stages, which are not covered as property
- Fireworks, pyrotechnics, and sparklers
- Virtual, hybrid, and livestreamed activity
- Event cancellation, which is not a product offered here
The policy is not primary by default. Primary status requires the paid Primary and Non-Contributory add-on.
Host Liquor Liability
When your ceremony involves alcohol service - from champagne toasts to open bars - host liquor liability, when purchased, can respond to claims stemming from alcohol consumption at your event, including resulting injuries or property damage.
Host liquor liability applies when you provide alcohol without operating under a liquor license. This encompasses situations where you purchase and distribute alcohol directly, or when venues or caterers serve it on your behalf. Coverage can respond when intoxicated guests cause accidents or harm others.
Critical distinction: If you sell alcohol or engage bartenders for commercial service, you require Full Liquor Liability instead, available for eligible event types. For most award ceremonies where alcohol is complementary (not sold separately), host liquor liability is appropriate and can be added at checkout for an additional charge.
Property Damage Coverage
Third-party property damage is handled under your general liability coverage, which can respond to accidental harm to the venue space you rent. This matters for ceremonies with heavy audiovisual load-in or elaborate decor. Temporary structures such as tents and stages are not covered as property.
This coverage can apply to:
- Accidental harm to venue furnishings during load-in or load-out
- Scratches, dents, or stains to venue property
Venue rental agreements commonly make you responsible for damage to the space under your control, which is one reason venues ask for coverage in the first place. See your issued policy for the applicable terms, limits, conditions, and exclusions.
Additional Insured Coverage
Most venues ask for additional insured status on your certificate of insurance. This designation can extend your liability protection to the venue, as required by written contract, for claims arising from your negligence at the event.
Entities commonly requiring additional insured status include:
- The venue or facility (hotel, banquet hall, convention center)
- Owners, managers, and lessors of your event premises
- Municipalities issuing an event permit
Adding an additional insured carries no extra charge. You can add one during purchase or anytime before your event, and your certificate of insurance documents the additional insured status for your venue contract. Caterers, vendors, and sponsors are not eligible for additional insured status.
What Award Ceremony Insurance Covers
Common exclusions to understand (not a complete list):
- Medical payments: guest medical payments, sometimes called Coverage C, are excluded.
- Participants and performers: injuries to participants, performers, and contestants are not covered.
- Temporary structures: tents and stages are not covered as property, so document the rental terms with your supplier.
- Fireworks and pyrotechnics: fireworks, pyrotechnics, and sparklers are not covered.
- Virtual and livestreamed activity: virtual, hybrid, and livestreamed portions of a ceremony are not covered.
- Bounce houses and inflatables: excluded, along with water activities, which are not eligible.
- Event cancellation: there is no event cancellation product here, so lost deposits and postponement costs are not covered.
How Much Does Award Ceremony Insurance Cost?
Our event liability coverage varies based on multiple factors unique to your ceremony. Understanding these elements helps you budget effectively and identify opportunities to manage expenses.
How the base premium is calculated for an Award Presentation:
- Number of guests x number of event days x rate per guest, subject to a minimum premium
- Optional coverages can be added for an additional charge: Waiver of Subrogation, Primary & Non-Contributory Endorsement, Host Liquor Liability, and Full Liquor Liability
- Higher liability limits are available - $2 Million Per Occurrence, and $3 Million, $4 Million, and $5 Million Aggregate Limits - priced based on the coverage selected and subject to minimum charges
- Up to 3 event days, with 1,000 attendees as the maximum
Additional charges may apply, including: a transaction fee, an underwriting fee, a Terrorism Risk Insurance Act (TRIA) charge, if applicable, and state taxes and surplus lines stamping fees where required. All applicable charges will be displayed before you complete your purchase.
Key factors affecting your premium:
Number of attendees: Premium scales directly with your attendee count, so a precise headcount projection keeps you from overpaying.
Event duration: Single-day ceremonies cost less than multi-day programs, and an Award Presentation can be scheduled for up to 3 days. Setup and breakdown dates can also be covered when they are included in your policy's scheduled dates.
Alcohol service: Serving alcohol increases risk; Host Liquor Liability can be added at checkout for an additional charge for eligible events where alcohol is served but not sold. Where alcohol is sold, Full Liquor Liability is available for eligible event types, also for an additional charge.
Coverage limits: Standard base liability limits are $1 million per occurrence / $2 million aggregate. If your venue mandates higher limits - $2 million per occurrence, or a $3 million, $4 million, or $5 million aggregate - the upgrade is priced based on the coverage selected and subject to minimum charges, and the exact cost is shown in your quote at checkout.
Additional coverages: Adding optional endorsements such as Waiver of Subrogation or Primary & Non-Contributory increases your total premium; each is available for an additional charge shown in your quote before you pay.
How different ceremonies compare:
A corporate recognition dinner with a modest guest list running for a single day sits at the low end, where the minimum premium generally applies. A nonprofit fundraising gala with a full room over two days costs more, because the premium scales with both guest count and the number of event days, and optional coverages such as full liquor liability are charged on top. An academic honors ceremony with a large audience for one day sits higher again on guest count alone. In every case, the premium, the optional coverages you select, and any applicable fees and taxes are itemized in your quote before you pay.
The examples above are provided for illustration purposes only. Final pricing may vary based on event details, state-specific requirements, eligibility, selected coverages, applicable taxes and fees, and underwriting rules in effect at the time coverage is purchased.
One substantial advantage of our event insurance: most policies have no deductible - see your quote for details. For covered liability claims on eligible policies, there is no deductible to pay before the policy responds.
How to Get Coverage
Information You'll Need
Before beginning your application, compile these details to expedite the process:
- Event date and duration: Exact dates including setup and teardown time
- Venue information: Complete address and venue type (hotel, convention center, etc.)
- Expected attendance: Estimated guest count - be as accurate as possible
- Alcohol service details: Whether you're serving alcohol, how it's being provided, and if it's complimentary or sold
- Venue requirements: Coverage limits and any specific requirements from your venue contract
- Additional insured information: Names and addresses of venues or entities requiring additional insured status
Having your venue contract available helps ensure you purchase coverage meeting all specifications. Review the insurance section, which typically stipulates minimum coverage limits and additional insured language.
Step-by-Step Purchase Process
Our online application takes about five minutes from start to certificate:
- Select your event type: choose "Award Presentation".
- Enter your guest count and number of event days.
- Tell us who is purchasing the coverage.
- Enter your venue's address and location type.
- Pick your coverage dates. The earliest coverage can begin is the day after purchase.
- Answer a few eligibility questions about venue activities, musical performances, vendors or temporary structures, and prior claims.
- Choose your add-ons: host liquor liability or full liquor liability for eligible events, Waiver of Subrogation, and Primary and Non-Contributory.
- Review your quote and pay by card. You can also increase your per-occurrence and aggregate liability limits above the base $1M/$2M here. Additional Insureds, such as your venue, can be added for free.
- Receive your documents: your Certificate of Insurance arrives within minutes, and coverage begins on the dates you selected.
Timeline Considerations
While you can secure coverage quickly, timing matters for smooth planning:
Ideal timeline: Purchase coverage 2-4 weeks before your event. This provides time to review the policy, add additional insureds, and submit certificates to your venue well before their deadline.
Venue certificate deadlines: Venues often require proof of insurance well ahead of the event date, and some require it at contract signing. Policies vary. See your issued policy for applicable terms, limits, conditions, and exclusions. Check your venue agreement for specific deadlines and work backward from there.
Last-minute coverage: If you're facing time constraints, coverage can be purchased as late as the day before your event, subject to eligibility. You can get a quote and complete your purchase in minutes.
Last-minute situations: If your venue just notified you about their insurance requirement and your event is approaching, don't worry. Coverage can begin as early as the next day for eligible events, and you can receive your certificate within minutes of completing your purchase.
Risk Management Tips
While our insurance can protect you financially, incident prevention is always preferable. These practical measures reduce risk at your ceremony:
Pre-event venue walkthrough:
- Identify trip hazards like uneven flooring, steps, or carpet edges
- Check lighting adequacy, especially in transition areas
- Document existing damage with photos before your setup begins
- Verify emergency exit locations and ensure they'll remain clear
- Confirm location of first aid supplies and AED devices
Setup and staging safety:
- Secure all cables and cords with cable covers or tape
- Ensure staging platforms are stable and have secure steps
- Test audiovisual equipment before guests arrive
- Verify proper installation of any hanging decorations or lighting
- Create clear pathways for guest movement and emergency access
Guest safety protocols:
- Post clear signage for restrooms, exits, and any level changes
- Ensure adequate lighting in all guest areas
- Have staff available to assist guests with mobility challenges
- Keep walkways clear of decorations, equipment, or supplies
- Address spills immediately with cleanup and warning signs
Alcohol service best practices:
- Use professional bartenders who are trained in responsible service
- Verify that all servers have appropriate alcohol service certifications
- Offer substantial food throughout the event, not just appetizers
- Provide non-alcoholic beverage options prominently
- Plan to close the bar 30-60 minutes before the event ends
- Arrange transportation options for guests who may need them
Weather contingency planning:
For outdoor ceremonies, develop a detailed backup plan including an indoor alternative location or tent rental. Monitor weather forecasts starting a week before your event. Communicate your contingency plan to vendors and key participants well in advance.
Emergency contact preparation:
Compile a contact sheet with phone numbers for your venue manager, catering captain, AV technician, and other key vendors. Include local emergency services, the claims contact listed on your policy documents, and contact information for your organization's leadership. Share this with your event team and maintain copies in multiple locations.
Coverage is subject to the terms, conditions, limits, and exclusions of the issued policy.
