Frequently Asked Questions
Common questions about convention insurance.
Many venues require proof of at least $1,000,000 in general liability before they'll confirm your booking. Beyond venue requirements, a policy can help protect you financially if someone gets hurt or something gets damaged during your convention - costs that could otherwise come out of pocket.
Pricing depends on your guest count, event duration, and the coverage options you select. You can see your exact price instantly with no commitment required.
A standard policy covers general liability for bodily injury and property damage. Optional add-ons include host liquor liability for events where alcohol is served, Waiver of Subrogation, and Primary & Non-Contributory status.
Fill out the online form, choose your options, and your Certificate of Insurance arrives within minutes. Keep in mind that coverage itself begins no sooner than the next day - the earliest coverage date you can select is tomorrow. No phone calls, no paperwork to mail in.
Yes - at no extra charge, you name your venue on your certificate during checkout, and the policy's additional insured endorsements extend protection to owners, managers, and lessors of your event premises - and to municipalities issuing event permits - as required by written contract. The certificate reflecting this is included automatically. Caterers and other vendors aren't eligible for additional insured status. Note that venues often also require Waiver of Subrogation and Primary and Non-Contributory, which are separate optional coverages available for an additional charge.
Alcohol-related coverage is never included automatically - it is an optional paid add-on. For eligible events where alcohol is served but not sold, host liquor liability can be added during checkout. Available alcohol-related coverage options depend on the event type and eligibility shown during checkout.
Gigsure policies cover liability and property protection for your event. If you need to cancel, contact your venue and vendors directly - cancellation terms are governed by your vendor agreements, not your event liability policy.
All policies are underwritten by an insurance carrier rated A++ (Superior) by AM Best - one of the highest ratings in the insurance industry. Your carrier is named on your quote and policy documents.
Complete Guide to Convention Insurance
Everything you need to know before purchasing coverage for your convention.
Imagine coordinating a 2,500-person industry expo when an attendee is seriously injured in a fall on a crowded exhibit floor. Without adequate protection in place, you're looking at potentially devastating medical expenses and legal costs. This is the kind of incident liability coverage exists for.
What Is Convention Insurance?
Convention insurance is short-term liability coverage for event organizers running conventions, trade shows, conferences, and expos. It responds to third-party bodily injury and third-party property damage claims. You choose your coverage dates at checkout, so setup and teardown days can be included in the dates you select, up to a 3 day maximum.
Conventions concentrate the distinct risks that emerge when hundreds or thousands of people gather around exhibitor booths, interactive displays, and commercial equipment. The policy can respond when someone sustains an injury at your event or when property belonging to the venue gets damaged, subject to policy terms.
Many convention centers and event facilities require documented proof of coverage before permitting you to host your event. Other policies generally won't satisfy a venue's certificate-of-insurance or additional-insured requirement. A Gigsure policy produces a COI naming the venue as an additional insured, which is what the venue is actually asking for.
How It Differs from General Event Insurance
While our general liability insurance serves birthday celebrations, weddings, and intimate gatherings, our convention-specific policies are built to handle commercial activities including product demonstrations, booth operations, and extensive exhibitor participation. Keep in mind that vendor and exhibitor activities come with specific policy requirements - you should have a written contract and a certificate of insurance on file from every vendor.
Who Needs This Coverage?
Several distinct groups involved in convention activities may need liability coverage:
Convention Organizers and Event Planners: When you're managing the overall event, you bear responsibility for attendee well-being and venue protection. Coverage responds to third-party bodily injury and property damage claims arising from your event, subject to policy terms.
Exhibitors and Booth Operators: Whether you're demonstrating software, marketing handcrafted products, or showcasing industrial machinery, your booth generates liability exposure. Visitors might trip over your power cables or be injured around your displays and demonstrations.
Service Providers: Audiovisual teams, decorators, and setup personnel all carry exposure. Your work at the venue generates liability exposure regardless of whether you're organizing the primary event.
Understanding Venue Requirements
Many convention facilities ask organizers to carry at least $1 million per occurrence with a $2 million aggregate, which is the base limit set on every Gigsure policy. Policies vary. See your issued policy for applicable terms, limits, conditions, and exclusions. Larger venues sometimes ask for $2 million per occurrence with a $4 million aggregate, and both are available as paid upgrades at checkout. Venues will also require you to name them as additional insureds, which Gigsure does at no extra charge. Additional insured status is limited to venues and to municipalities issuing event permits.
Coverage Components Explained
Understanding what the policy includes helps you make informed decisions about the protection you're purchasing.
General Liability Protection
This foundational coverage addresses third-party bodily injury and third-party property damage claims. Base limits are $1 million per occurrence and $2 million aggregate. The Products and Completed Operations aggregate limit is $1,000,000. This is a stated policy limit, not product or food-service protection; products, food service, and food-borne illness are not a coverage area.
Damage to Rented Premises
Damage to Premises Rented To You carries a $100,000 limit and is included on every policy at no extra charge. This applies to convention halls, conference rooms, and exhibit spaces you rent for your event. It is the coverage a venue is thinking of when it asks who pays if you damage the space.
Host Liquor Liability
When you provide complimentary alcohol at your event without selling it, you can add host liquor liability to your policy at checkout for an additional charge. This can help cover situations where someone becomes intoxicated at your gathering and later injures others or damages property. If you're selling alcohol or running a cash bar, you can add full liquor liability at checkout for eligible event types, also for an additional charge. The two are mutually exclusive, and neither is included automatically.
What's Not Covered
These are common examples, not a complete list - see your policy for the full set of exclusions, terms, and conditions.
Understanding policy exclusions prevents unexpected gaps when filing claims:
- Participants and Performers: Injuries to participants, performers, and contestants are not covered.
- Medical Payments: There is no medical payments or guest medical coverage on these policies.
- Temporary Structures: Tents, stages, and similar temporary structures are not covered as property.
- Fireworks and Pyrotechnics: Fireworks, pyrotechnics, and sparklers are not covered.
- Bounce Houses and Inflatables: Bounce houses and other inflatables are excluded.
- Virtual and Hybrid Activity: Virtual, hybrid, and livestreamed activity is not covered.
- Water Activities: Water activities are blocked at eligibility and are never covered or priced.
- Event Cancellation: Liability coverage does not reimburse lost income if you cancel. Gigsure does not offer an event cancellation product.
- Products and Food Service: Food service and food-borne illness are not a coverage area.
- Primacy: The policy is not primary by default. Primary and Non-Contributory status requires a paid add-on.
Pricing and Cost Factors
Pricing varies by event details. Your base premium is calculated using the number of guests, the number of event days, and a rate per guest, subject to a minimum premium:
Event Size: Convention (Indoors) is eligible for up to 2,500 daily attendees, with an extended band covering 2,501 up to 5,000 attendees. Above 5,000 attendees the event is not eligible. A larger guest count increases the base premium.
Duration: Single-day gatherings cost less than multi-day conventions. Convention (Indoors) policies can run up to 3 days.
Event Type and Risk Level: Your price is based on your guest count, event duration, and selected coverage options - activity risk level does not change the premium.
Coverage Limits: You can raise your per-occurrence limit to $2 million, and $3 million, $4 million, and $5 million aggregate limits are available. Higher limits are priced based on the coverage selected and are subject to minimum charges, with the amount shown on your quote.
Alcohol Service: Host liquor liability is an optional add-on; where alcohol is sold, Full Liquor Liability is available for eligible event types. Both carry an additional charge.
How the Pieces Fit Together
A small one-day professional society meeting in a hotel ballroom sits at the low end, where the minimum premium generally applies. A multi-day trade show with exhibitor booths costs more, because both the guest count and the number of event days feed the calculation. A capacity industry expo running the full three days sits at the high end. Adding host liquor liability, endorsements such as Waiver of Subrogation or Primary and Non-Contributory, or higher liability limits increases the total further.
The examples above are provided for illustration purposes only. Final pricing may vary based on event details, state-specific requirements, eligibility, selected coverages, applicable taxes and fees, and underwriting rules in effect at the time coverage is purchased.
Taxes and Fees
Additional charges may apply, including a transaction fee, an underwriting fee, a Terrorism Risk Insurance Act (TRIA) charge if applicable, and state taxes and surplus lines stamping fees where required. All applicable charges will be displayed before you complete your purchase.
Per-Event Coverage
Gigsure coverage is sold per event. You buy one policy for the specific convention dates you select, up to 3 days, rather than a year-round policy.
Policy Types and Structures
Short-Term Event Policies: These cover a specific event, with setup and breakdown days included in the coverage dates you select, up to a 3 day maximum. They're a fit for one-time conventions or occasional exhibitors.
Organizer vs. Exhibitor Coverage: An organizer's policy covers the organizer's liability for the event as a whole, subject to policy terms. If you are an individual booth operator rather than the organizer, you buy coverage for your own operations. Organizers generally carry higher limits than individual exhibitors.
Understanding Policy Limits
Limits are expressed as "per occurrence/aggregate." A $1M/$2M policy provides up to $1 million for any single covered incident and up to $2 million total for all covered claims during the policy term. Once you reach the aggregate limit, coverage ends even if your policy period hasn't concluded.
Optional Add-Ons
These optional coverages can be added at checkout for an additional charge:
Waiver of Subrogation: Frequently required by convention center and hotel contracts. It is not included by default.
Primary and Non-Contributory Endorsement: The policy is not primary by default. This add-on is what makes it primary and non-contributory when a venue contract calls for it.
Host Liquor Liability or Full Liquor Liability: Host liquor applies where alcohol is served but not sold; full liquor liability applies where alcohol is sold. The two are mutually exclusive and availability depends on the eligibility answers you give at checkout.
Higher Limits: A $2 million per-occurrence limit is available, along with $3 million, $4 million, and $5 million aggregate limits. These are priced based on the coverage selected and subject to minimum charges; the exact amount appears on your quote before you pay.
Certificates of Insurance Explained
A Certificate of Insurance (COI) is a one-page document confirming you maintain active coverage. Venues require this before permitting you to host or exhibit at their location.
The certificate displays your policy number, coverage dates, limits, and any additional insureds. It's not the actual policy - simply verification that coverage exists.
Venues typically require listing as additional insureds, which extends your coverage to help protect them from claims stemming from your activities. Other policies you already hold generally won't produce this document with the venue named on it, which is the requirement the venue is actually enforcing. You can get a quote and receive your certificate online within minutes.
Reading Your Certificate
Key elements to confirm: the coverage dates align with your event dates, the limits satisfy venue requirements (commonly $1M/$2M), the venue appears as an additional insured, and the certificate holder section displays the venue's accurate legal name and address.
Common Convention Risks
Understanding typical claims helps you avoid them:
Slip and Fall Incidents: A common claim category at crowded indoor events. Spilled beverages, electrical cords, uneven surface transitions, and congested pathways all create fall hazards.
Booth Display Accidents: Inadequately secured displays falling on visitors can cause severe injuries.
Fire Damage: Electrical failures in booth equipment can trigger fires.
Alcohol-Related Incidents: Over-serving can lead to injuries and claims against the event organizer.

Risk Management Best Practices
Insurance can respond to covered claims after incidents occur - risk management helps prevent them:
Pre-Event Planning: Conduct facility walk-throughs to identify hazards like uneven surfaces, inadequate lighting, or restricted aisles. Review all vendor agreements to ensure they maintain their own insurance. Require vendors to supply certificates proving coverage and naming you as additional insured. Develop emergency response protocols including evacuation routes and medical emergency procedures.
During Your Event: Position staff at high-traffic zones to monitor for hazards. Immediately address spills, damaged surfaces, or loose cabling. If serving alcohol, use professional bartenders trained in responsible service and implement consumption limits or wristband systems. Document any incidents immediately with photographs, witness statements, and incident reports.
Exhibitor Safety Guidelines: Require exhibitors to anchor all displays to prevent toppling. Inspect electrical configurations to ensure proper grounding and prevent overloaded circuits. Maintain clear aisles free of containers, equipment, and trip hazards. Prohibit open flames entirely. Fireworks, pyrotechnics, and sparklers are not covered.
Coverage by Event Type
Different conventions present distinct risks:
Trade Shows and Expos: Focus on exhibitor liability and product demonstration exposures. Require every exhibitor to carry their own $1M primary liability coverage, sign a written contract, and provide a certificate of insurance you keep on file.
Professional Conferences: Lower physical risk, though continuing education and professional development sessions bring their own exposures. Event liability coverage responds to third-party bodily injury and property damage, subject to policy terms.
Fan Conventions: High attendance volumes and energetic crowds create crowd control challenges. Costume accessories and prop policies require enforcement. Consider elevated liability limits due to larger attendance.
Virtual and Hybrid Events: These event liability policies apply to in-person events. Virtual, hybrid, and livestreamed activity is not covered, so price and schedule your policy around the in-person portion only.
Filing Claims
If an incident occurs, follow these steps:
Immediate Actions: Provide necessary medical assistance and preserve the incident scene. Document everything with photographs, videos, and written descriptions. Collect witness contact information and statements. Complete an incident report while details remain fresh.
Notification: Report the incident as soon as practicable, even if no claim has been filed yet. Prompt reporting helps protect your coverage and allows the insurer to investigate while evidence remains available.
Documentation Needed: Incident reports, medical records, scene photographs, witness statements, police reports if applicable, and any correspondence with injured parties.
Timeline Expectations: Timelines vary with the complexity of the claim. The insurer will tell you what it needs from you as the claim progresses, subject to policy provisions.
