What Is Trade Show Insurance?
This event liability coverage is built for businesses operating temporary exhibition spaces, display booths, or vendor stations at trade shows, conventions, and industry expos. It responds to third-party claims when event attendees, fellow exhibitors, or venue personnel suffer bodily injury or property damage connected to your booth operations, subject to the terms of the issued policy.
Here's the practical reason exhibitors buy it: whatever business insurance you already carry generally won't satisfy a venue's certificate-of-insurance or additional-insured requirement. A Gigsure policy produces a COI naming the venue as an additional insured, which is what show management is actually asking for before you set up.
Coverage applies during your scheduled event dates, and setup and teardown dates can be included when they are listed on your policy schedule. Those phases are worth scheduling deliberately: you're assembling display structures, positioning electrical cords across high-traffic areas, and transporting substantial equipment, all of it around other people.

General Liability Protection
This coverage is the core of the policy, addressing third-party bodily injury and property damage claims.
Base liability limits are $1 million per occurrence and $2 million aggregate. Policies vary. See your issued policy for applicable terms, limits, conditions, and exclusions. The per-occurrence limit defines the maximum payment for any individual incident, while the aggregate establishes the total claims cap during your coverage period. For larger shows you can raise limits at checkout: $2 million per occurrence, and aggregate upgrades to $3 million, $4 million, or $5 million. Higher limits are priced based on the coverage selected and are subject to minimum charges, shown before you complete your purchase.
Damage to Premises Rented To You is included on every policy at $100,000, at no extra charge. That matters at a trade show, because you are temporarily renting exhibition space and the venue will want to know who answers for damage to it.
Products and Completed Operations
Every policy is issued with a Products and Completed Operations Aggregate of $1,000,000, technically the lesser of your per-occurrence limit and $1 million. It appears on the policy as its own aggregate limit, and it is one of the limits show management may ask you to evidence. It is a stated policy limit, not product or food-service protection; products, food service, and food-borne illness are not a coverage area.
Exhibitors who sell or hand out goods at a booth often see that line item on a certificate request, so it is worth knowing the number before you send your certificate. Host Liquor Liability
Providing alcoholic beverages at your booth, including complimentary wine or beer offerings, creates a liability exposure the base policy does not address. Host liquor liability is an optional add-on, available for an additional charge, for eligible events where alcohol is served but not sold, and it applies to claims arising when someone becomes intoxicated at your exhibition space and later causes injury or damage.
Alcohol-related coverage is never automatic. If you're pouring champagne during a product unveiling, you need to select the add-on at checkout: host liquor liability, or full liquor liability for eligible events where alcohol is sold. Each is available for an additional charge. The two are mutually exclusive, and availability depends on the event type and the eligibility questions in the application.
Equipment and Contents Protection
This is a third-party liability policy. It does not insure your own booth equipment, displays, or the inventory you bring to sell. Booths, tents, and display structures are temporary structures, and this policy does not insure them as property either. If your demonstration tablets are stolen or your display system is damaged in transit, that is a separate property placement you would arrange with a commercial insurance broker.
Endorsements Venues Ask For
Show management contracts often ask for two endorsements by name. Waiver of Subrogation is an optional add-on, available for an additional charge. Primary and Non-Contributory is a separate optional add-on, also available for an additional charge, and it matters more than exhibitors expect: the policy is not primary by default, so if your contract requires primary and non-contributory wording, you have to purchase that endorsement.
Naming your venue as an Additional Insured on the certificate is free and happens during checkout. Read your exhibitor agreement before you buy so you select the right combination once, rather than reissuing a certificate the week of the show.

- Medical payments - there is no guest medical benefit on the policy; injuries are handled as liability claims or not at all

- Virtual, hybrid, and livestreamed activity - not covered

- Bounce houses and inflatables - excluded
- Water activities - blocked at eligibility, never priced or covered
- Primacy by default - the policy is not primary unless you purchase the Primary and Non-Contributory add-on
Eligibility is screened in the application as well as in the policy wording, so if your booth includes anything out of the ordinary, disclose it during your application. Materially false or incomplete answers can void coverage.
What Does Coverage Actually Cost?
Pricing varies by event details. Your base premium is calculated using: number of guests x number of event days x rate per guest, subject to a minimum premium. Optional coverages - Waiver of Subrogation, Primary & Non-Contributory Endorsement, Host Liquor Liability, and Full Liquor Liability - can be added for an additional charge, and higher liability limits are priced based on the coverage selected and subject to minimum charges.
Additional charges may apply, including: a transaction fee, an underwriting fee, a Terrorism Risk Insurance Act (TRIA) charge, if applicable, and state taxes and surplus lines stamping fees where required. All applicable charges will be displayed before you complete your purchase.
Short-Term Event Policies
For individual events or occasional exhibitors, coverage is written per event, with no annual commitment:
- 1-3 day events: pricing varies by event details - your guest count, the number of event days, the tradeshow type you select, and the coverages you add, subject to a minimum premium. Your exact price is shown instantly before you commit
Equipment is not insured under this policy, so price any property placement separately with a commercial insurance broker.

How to Purchase Coverage

Filing Claims and Managing Incidents
Despite careful precautions, incidents occur at trade shows. Understanding proper response procedures helps protect your interests and ensure efficient claims processing.
Immediate Incident Response
When an accident happens at your booth, implement these steps immediately:
- Ensure injured individuals receive appropriate medical care
- Document the incident scene with photographs and video footage
- Gather contact details from injured parties and any witnesses
- Record comprehensive notes describing what occurred while details remain fresh
- Notify venue security or event administration
- Avoid admitting fault or discussing liability questions
- Report the incident promptly using the contact details on your policy documents
Your policy requires prompt notice of an incident. Delayed reporting can compromise coverage eligibility, so report promptly even when uncertain whether a formal claim will be submitted.
The Claims Process
After you report an incident, the insurance carrier assigns a claims adjuster who investigates the circumstances. They'll request your documentation, conduct witness interviews, evaluate your policy coverage, and determine whether the claim qualifies for coverage.
If a claim is accepted, the carrier may settle it directly or provide a legal defense if the injured party files suit. Settlement and defense costs are subject to your limits and to the terms of the issued policy, and defense costs alone can be considerable even when you bear no fault.
How Claims Affect Future Coverage
An event policy covers one event and then expires, so there is no renewal on it to price.
However, a prior liability loss is one of the eligibility questions asked during the application, so past incidents can affect your ability to secure future event coverage.
